Prices

Prices quoted are based on airfares, tariffs and rates of exchange prevalent at the time of quotation. Until Q2 Travel has received full payment we reserve the right to amend any variations to the clients account. However, once full payment is received the price of the land arrangement is guaranteed.

Not Included

Prices quoted do not include airport taxes, cost of obtaining visas and passports, unless specifically requested in the quote, telephone calls, entertainment arrangements not shown in the itinerary, meals and beverages, unless actually specified and other items of a personal nature.

Errors & Omissions
Q2 Travel will not be held responsible for any errors on quotes or bookings or any omissions. It is the responsibility of the agent/client to thoroughly check the documentation for correctness.

Reservations and payment – Direct Clients and Agencies

On confirmation of reservation a minimum 20% (unless the supplier requires a higher percentage) deposit will be required from the client. This deposit will be refundable in accordance with the “Cancellation and Refunds” policy below (unless it is specifically stated that the deposit is non-refundable on the confirmation). Full payment is due in our South African banking account no later than 40 days prior to departure. All bookings made within 40 days prior to departure must be accompanied by full payment. Q2 Travel reserves the right to cancel any reservation for which the total payment has not been received.

Reservations and payment – Internet Clients

For a reservation to be made, a 10% non-refundable deposit is required Full payment is due in our South African

Deposits

A deposit as determined by Q2 Travel (Pty) Ltd will be payable on confirmation of a booking. The amount of the deposit will be determined and detailed by Q2 Travel (Pty) Ltd on confirming the booking.  For travel during the peak period, or when a portion thereof falls into peak period, 10 December to 10 January the following year (inclusive), 10% of the entire booking will be non-refundable.

 

Cancellation and Refunds

In accordance by the policy adopted by Tour Operators worldwide, Q2 Travel (Pty) Ltd reserves the right to cancel any tour or booking before departure, in which the entire payment will be refunded without further obligation on the part of Q2 Travel. In the event you wish to cancel your reservation for any reason such cancellation must be received in writing or e-mail and cancellation charges will be levied as follows:

60 days prior to departure:             25 % of the total
40 days prior to departure             50% of the total
30 days prior to departure             100% of the total
Services fees are non-refundable

These charges are in addition to any levied by airlines. In the event of you failing to join our tour, or join in or after departure, or leave before completion, no portion of the price is refundable.

Group cancellation fees may differ from the above. Q2 Travel (Pty) Ltd reserves the right to charge the appropriate cancellation fee for any group to cover any expenses, bank fees and cancellation fees incurred. Such expenses may result as a non-refundable deposit, supplier cancellation fees, holding fee, booking fee, service fee, administration/cancellation fee, foreign exchange fee, transfer fee and any other fees levied by the supplier. This fee may also cover any administration expenses incurred by Q2 Travel (Pty) Ltd.

Q2 Travel (Pty) Ltd reserves the right to charge a cancellation/administration fee (most often this is expressed as a percentage of the total due) if cancellation occurs longer than 60 days prior to departure to cover any expenses, bank fees and cancellation fees incurred. Such expenses may result as a non-refundable deposit, holding fee, booking fee, service fee, administration/cancellation fee, foreign exchange fee, transfer fee and any other fees levied by the supplier. This fee may also cover any administration expenses incurred by Q2 Travel (Pty) Ltd.

Amendment Fees and Late Bookings

Providing amendments do not incur a cancellation fee from the service amended, any such amendments of a confirmed booking will be made free of charge up to 2 changes and thereafter the changes will incur a fee of ZAR 250 per amendment. Any additional costs beyond Q2 Travel’s normal prices incurred as a result of a late booking shall be for the client’s account.

Unused services

No refund will be considered for any unused services irrespective of whether they form part of an inclusive tour price or where booked as optional arrangements.

Documentation and Health

All passengers will be personally responsible for ensuring that they are in possession of the correct documentation before departure. Q2 Travel does not accept responsibility for any consequences whatsoever from a passenger failing to ensure that he or she complied with the necessary health, passport and visa requirements.

Responsibility Clause

All reservations, bookings and arrangements are made on the express condition that Q2 Travel, their servants and agents shall not be responsible for, and shall be exempt from all liability in respect of any loss, damage, accident, delay or inconvenience to any person, or his or her luggage or other property, wherever, whenever and however the same may occur. Q2 Travel acts as an agent only in producing and operating tours and bookings and shall not be liable for any loss, damage or injury that may be occasioned by any defect in any vehicle, or any other form or conveyance, or by error or default of any company or person engaged in conveying clients, carrying out the arrangements of the tour, or otherwise in connection therewith.  IATA carriers are not to be held responsible for any act or mission or event during the time clients are not aboard the aircraft or conveyance. The carriers liability for the acts, events and omissions which occur during the carriage by air is governed by applicable laws and regulations and by the conditions appearing on the carriers tickets, which constitutes the sole contract between the airline and the purchaser of these tickets and/or passenger.

Insurance

Travel and cancellation insurance is compulsory on all tours arranged by Q2 Travel. The client is fully aware that it is his/her responsibility to take out insurance. Clients will effect personal insurance and be satisfied that their insurance fully covers their personal requirements. Q2 Travel will not be held liable for any omission on the part of the client in obtaining adequate insurance.

Itinerary Variations and Delays

Q2 Travel does not hold itself responsible nor can it be held responsible for any delays prior to departure, or during the course of any tour or booking created by Q2 Travel whether brought about by technical difficulties, strikes, weather conditions, political unrest or any other circumstance whatsoever foreseen of unforeseen. Expenses incurred by any such circumstances are for the client’s account. It may be necessary due to certain circumstances beyond Q2 Travel’s control to make certain changes to transport timings, itineraries or to hotel accommodation and under such circumstances Q2 Travel shall at its sole and absolute discretion be entitled to make the necessary changes. Q2 Travel will endeavour to advise as soon as possible and keep the inconvenience to the minimum. In the unlikely event of a change in accommodation, substitute accommodation of a similar standard will be supplied if available. Where the client requests upgrading of accommodation, a cancellation fee may be charged and the difference in accommodation cost will be for the client’s account.

Special Requests

In line with Q2 Travel’s stated policy of detailed individual service to clients all efforts will be made to meet clients special requests. However it is understood that additional expenses incurred as a result of such requests are for the client’s account. Special requests will be passed to the service concerned but cannot be guaranteed by Q2 Travel.

Release of Travel Documents

Documents (tickets, vouchers, itineraries etc.) are only prepared on receipt of full and final payment, travel declaration and passenger detail form duly signed
